On 25 May 2018 the new data protection law (GDPR) takes effect around Europe and we at Nordisk Panorama are committed to inform you on how this will affect you and our services.

 

We appreciate that you trust us with your information and we intend to always keep that trust. This starts with making sure you understand the information we collect, why we collect it, how it is used and your choices regarding your information. This Policy is described in plain language, keeping legal and technical jargon to a minimum.

WHO WE ARE

Nordisk Panorama Film Festival is the main yearly event of the non-profit organisation Filmkontakt Nord based in Copenhagen, Denmark. As the event itself takes place in Malmö we also have offices there.

The organisation is run by public funding in the Nordic countries and Creative Europe and the main event Nordisk Panorama Film Festival is organised in co-operation with the City of Malmö, Film i Skåne and Region Skåne.

As our organisation is mainly associated with our main event we have adopted to call the entire organisation Nordisk Panorama (hereon referred to as ‘NP’).

This Privacy Policy applies to websites, apps, events and other services operated by Filmkontakt Nord (aka Nordisk Panorama)

INFORMATION WE COLLECT

As a non-profit organisation we rely on the information we receive from you to create our statistics and reports to funders on who was attending our event and used our services throughout the year as well as keep in contact with you regarding your films and projects. We also want to keep you updated about our coming festival.

Information you give us
  • When you submit a film or project you provide us essential information for us to be able to contact you regarding your film or project. The personal information consists of name, number, e-mail, gender, year of birth and company information if you are affiliated with one. We also collect pictures to be used in printed material, app and in certain cases on our website.
  • When you accredit yourself through our website you may make a purchase directly from us and you provide us or our payment service provider with information, such as your debit or credit card number or other financial information.
  • When you participate in surveys or focus groups, you give us your insights into our organisation and event and services, responses to our questions and testimonials.
  • When you choose to participate in our promotions, events or contests, we collect the information that you use to register or enter.
  • If you contact our team, we collect information you give us during the interaction.
  • If you ask us to communicate with or otherwise process information of other people (for example, if you make a film submission on others’ behalf), we collect the information about others that you give us in order to complete and process your submission.
  • When you submit a film or project or accredit yourself through our website you will automatically be signed up to receive information from our organization in the form of e.g. auto generated e-mails regarding your submission and newsletters.
Information we receive from others

In addition to the information you provide us directly or during your film submission or accreditation, we receive information about you from others, including:

  • Film Institutes & Other Partner Organisations
    We work closely with the film institutes to receive information on films and industry professionals. This collaboration is essential for our ability to get new information and stay updated. No information received is in any way shared for commercial purposes.
  • Social Media & Other web tools
    We use social media for promotional services. When you sign up to follow our pages or profiles we may use data provided by the sites to collect data of usage. This data is general and graphs show how our page is used. We also use web tool services where we lack our own to give you access for example to buying tickets at our festival or events. These services may require some personal information. We also use an external web tool to send our newsletters.
  • Other Users
    Other users may provide information about you as they use our services. For instance, we may collect information about you from other users if they contact us about you. An example of this is if film institutes want us to contact you about your film we may ask for contact details to do so.
Information collected when you use our services

When you use our services such as, film submission or project submission, accreditation or our streaming platform, we collect information about you, your company and your project. Please read more below.

  • Usage Information
    The information we collect is essential to us for contacting filmmakers regarding films, submissions and accreditations. The information is also crucial to our funding as we build statistics from some the information submitted. Your email will automatically be added to our newsletter service. If you wish to unsubscribe you can do so by clicking the unsubscribe link provided in each newsletter.
  • Streaming platform (not applicable to all)
    We collect information about your activity on our services. If we have given you access to our streaming platform we can collect information on what film titles you have watched.
  • Accreditation
    When you accredit yourself you freely consent to providing your contact information (i.e. name, e-mail, telephone number, websites). Without this information, we are unable to proceed your request for accreditation.
    When the filling in of information is complete you are required to pay for your services and provide additional card and banking details.
    Through the accreditation, we know what year you attended our events.
COOKIES AND OTHER SIMILAR DATA COLLECTION TECHNOLOGIES

Cookies are small text files that are sent to or accessed from your web browser or your device’s memory.  A cookie typically contains the name of the domain (internet location) from which the cookie originated, the “lifetime” of the cookie (i.e., when it expires) and a randomly generated unique number or similar identifier. A cookie also may contain information about your device, such as user settings, browsing history and activities conducted while using our services.

We use functional cookies to make our website work properly and give you the best experience. We also use statistical cookies to gather data for our website. As a non-profit organisation these statistics may be helpful in our funding process. You can, however, disable statistics cookies by unchecking the option here. We do not use third party cookies with marketing purposes.

HOW WE USE INFORMATION

The main reason we use your information is to process your films and to contact you regarding film submissions, projects and our events. We may also contact you regarding payments for participation in our event (i.e. Accreditation payments or project invoice payments).

The information for films contains crew information (i.e. names, telephone numbers, e-mails and company information) and for projects may contain financing information essential for our assessment of information to comply with our requirements and regulations.

As we are an organisation that works toward promoting Nordic film professionals we use certain information to publish in our online directory.

HOW WE SHARE INFORMATION

We share information internally with the different departments of the organisation as well as necessary collaborating agencies such as film institutes and other festivals. The information is not shared in any commercial capacity.

CROSS-BORDER DATA TRANSFERS

As our organisation is based in two countries and two offices this involves cross-border data transfers on a regular basis to be able to coordinate our work.

On occasion, we work with delegations or partners outside the EU and we may need to share certain data to enable the collaboration.

YOUR RIGHTS

You are in control of your information. Each registered professional has access/login to their own information page. However, our system is not open to the public and can only be edited by staff. Here are a few more points:

  • Applicable privacy laws may give you the right to review the personal information we keep about you. You can request a copy of your personal information at any time by sending us an e-mail.
  • If you believe that the information we hold about you is inaccurate or that we are no longer entitled to use it and want to request its rectification, deletion or object to its processing, please contact us.

For your protection, we may ask you to provide proof of identity before we can answer the above requests.

Keep in mind that our organisation is dependent on keeping certain information at hand to conduct work on behalf of your project. Should you decide to remove your information it may lead to us not being able to process your film and project submissions or accreditation and may warrant an exclusion from our events, prizes and information.

Accountability. In certain countries, including in the European Union, you have a right to lodge a complaint with the appropriate data protection authority if you have concerns about how we process your personal information. The data protection authority you can lodge a complaint with notably may be that of your habitual residence, where you work or where we are established.

HOW WE PROTECT YOUR INFORMATION

Our database is security protected and our service providers take necessary technical measures to ensure the safety of your information.

HOW LONG WE RETAIN YOUR INFORMATION

We keep your personal information as long as we need it for legitimate business purposes and as permitted by applicable law. We keep a database of the information for archive purposes and funding purposes.

PRIVACY POLICY CHANGES

Because we want to improve our organisation and the services and events we arrange this policy may change over time. We will notify you before any material changes take effect so that you have sufficient time to review the changes.
